Reporting and recording staff Covid-19 related absences

When reporting Covid-19 related absences managers should input absences using the same route they usually do via Health Roster and ESR.

Click here for the guidance sheet

It is essential that employees are returned back from their absence period on the day they return to ensure our absence levels are as accurate as possible.

If your department is on the roster please only record via the roster, this will pull through to ESR.

If you have any issues with recording your employees off with a Covid-19 related absence or returning them please contact:

Covid-19 self-isolation guidance

You may have seen reports in the media regarding proposed changes to the self-isolation requirements for frontline NHS staff. We are assessing this new guidance and will communicate widely any changes to practice as soon as possible. In the interim, please continue to observe current guidance around self-isolation.

Help us protect as many staff as possible this winter

This year's autumn/winter vaccination campaign is going to be a little different to previous years, with Covid-19 booster vaccinations likely to be offered alongside our annual flu jabs.

We're keen to hear from any staff who are trained in administering vaccinations, or from clinical staff who would like to be trained as a vaccinator. While details of the vaccination roll out are yet to be announced by the Government, we would like to hear expressions of interest if you would like to work in this vital and essential service, enabling us to plan for the autumn and to ensure we successfully protect as many staff as possible from flu and Covid-19.

Guidance on use of fans

Our infection prevention control team would like to remind us that in high temperatures we need to review how we are able to safely cool areas without increasing the risk of COVID-19 transmission. All areas should be looking at ways of encouraging natural air flow into their departments by opening windows but will need to be conscious of the impact of heat build-up.

Fans and methods of air cooling can be used but must be risk assessed. Please see the IPC section on the intranet covering fans.

Help us help patients who need clothes when they go home

The quality improvement (QI) team is supporting a project to supply wards with spare clothing so that no patient goes home in nightwear or a hospital gown.

We want our patients to be warm, and to retain their dignity when discharged from hospital but the team need your help to understand what is required and how it should be requested and distributed to wards.

Clinical teams can help the project by taking a couple of minutes to complete a quick survey, which will allow us to start helping as soon as possible.

Multi-factor authentication now live on mobile and personal devices

Our IT team has added greater security to your trust user account through an additional security measure - multi-factor authentication (MFA). This is the same type of security precaution you may use when confirming a bank payment or online purchase in which a code is texted to you, for example.

Watch this two minute film explaining MFA and how to set it up, and read last Friday's (16 July) bulletin for more information.

RBH: reduced inpatient diabetes service this week

There will be a reduced inpatient diabetes service at RBH from 19-23 July. We will be prioritising our most urgent and sick patients as well as discharges. The team can still be reached on bleep 2273 for referrals and over the phone advice.

Protecting our patients and colleagues

Delivering a single PAS - update

Providing a single patient administration system (PAS) for all of UHD is a complex project, with many benefits.

The project team has been working closely with operational and clinical experts to gather information on current processes and systems, and thank colleagues for the warm welcome they've received.

The team is looking across UHD at how many patients are booked into each theatre or clinic session, who currently uses our existing PAS systems and what their individual roles are, how clinics and wards are structured, and identifying all current patient pathways.

All of this information will build a picture of what the new single PAS will look like.

The team's next focus will be on planning what is going to change, when this is going to happen and who needs to be involved.

"We want all staff to play a part in making the transition as successful as possible," said James Spriggs, programme manager for the single PAS project.

"If you use eCaMIS and feel we haven't reached out to your department yet or you want to share your experiences, please do not hesitate to contact us via This email address is being protected from spambots. You need JavaScript enabled to view it..

Updating your Covid-19 vaccination status

If you believe that the details the NHS holds about your Covid-19 vaccination status, eg the number of doses received, is inaccurate, our occupational health service can help. Please be mindful that changes notified to the team may not be reflected in the NHS app, or on national databases, for several weeks.
