UHD PAS goes live across all of UHD

For the first time our hospitals have a single patient administration system (PAS) for all patient activity, with inpatients at Poole Hospital migrating to UHD PAS today.

This is a major undertaking, made possible through the support of clinical, nursing, admin and support teams.

As the system beds in, please show understanding towards colleagues who may be working with UHD PAS for the first time.

Please also help reduce pressure on our IT and business intelligence colleagues by avoiding non-urgent inquiries today.

If you have an urgent issue to raise regarding today's cutover of Poole Hospital inpatients, please use the hotline on extension 6020, which is available today (17 May) only.

POOLE: Real support for virtual consultations

Have you seen the virtual consultation facilities in the main outpatients department at Poole yet? There are five separate rooms, or pods, which have been purpose built for virtual consultations with patients. Each has a computer with webcam and headset or speaker, a phone line, and air conditioning.

Virtual and telephone consultations have become increasingly popular with patients and clinicians, with many patients saying they preferred the option of being seen remotely rather than having to come into hospital in person.

The facilities also support our commitment to offer patients choice on how and where they are seen, while also freeing up face-to-face clinic rooms for patients that need to be seen in person.

Any clinician who sees patients in an outpatient setting may use the pods, which can contribute to more efficient clinics and help us to see more patients. Not sure which patients are suitable for virtual consultations? Click here for up-to-date NHS England guidance.

To book, call extension 8243. The pods will also be bookable using a new system, Bookwise, coming in the next few months.

Get the most from new dictation tool for consultants

Consultants providing outpatient clinics should now have received a license for Dragon Medical One dictation software.

The trust has invested in the speech recognition solution to allow clinicians to capture and document patient data quickly and more accurately, saving them time and improving the quality of the care and letter backlogs.

Digital dictation can significantly reduce the amount of time spent on clinical documentation, while Dragon boasts a 99 per cent accuracy level with no voice profile training required.

The roll out of the software is being supported with a series of live education courses provided by Nuance, the company behind the software. Users simply need to register here.

Training courses, quick guides, videos and supporting material are also available at a time to suit you on the UHD Dragon Medical One site.

Booking a bank holiday on eRoster

Please be aware that the bank holiday element in ESR has changed. When recording bank holidays on the roster, you must recorded them as bank holiday and not just normal annual leave. This is to ensure the employee is not overpaid the Agenda for Change average element.

POOLE: reduced lymphoedema clinic

The lymphoedema clinic will be running on a reduced service until mid-June. The current waiting list for new patients is now July. Breaking the stigma around hepatitis C

In the UK over 200,000 people are infected with hepatitis C, but 60% of people don't know they have it. While we might primarily associate hepatitis C with intravenous drug use, our liver nursing team are on a mission to break this stigma.

Hepatitis C is transmitted through blood-to-blood contact which can include:

  • sharing razors, toothbrushes or piercing jewellery
  • having medical care, cosmetic surgery, tattoos or acupuncture abroad or in unsterile conditions
  • blood transfusions prior to 1992

Healthcare support workers (HCSW) – Health Education England wants to hear from you

You are invited to join a workshop with Health Education England focusing on supporting HCSWs in preparing for career conversations. Join the Dorset innovation hub to further understand the challenges of innovation adoption, develop skills and build knowledge, to be better equipped to successfully adopt innovations into practice.

Thank you to our nurses on #NursesWeek

This week we celebrated #TeamUHD nurses across our hospitals. There have been information stands at each of our hospitals, blessings from our chaplains and thank you messages from colleagues and patients. We have also honoured Florence Nightingale, the founder of modern nursing who was known as the lady with the lamp, by carrying a lamp across UHD to represent the transfer of knowledge between our nurses.

We would like to say a huge thank you to everyone who has taken part to raise awareness of the work of nurses in all of our care groups.

POOLE: UHD PAS goes live for inpatients on Tuesday – are you ready?

UHD PAS goes live for inpatients at Poole Hospital on 17 May – please visit the PAS pages on the UHD intranet to access a range of resources – from how to guides, planned ward cutover timings and a handy checklist - to support you before, during and after the cutover. Clinicians should note that cancelled appointments will unfortunately remain visible in the 'future appointments' tab of the patient record, together with a cancellation reason. This is a known issue that clinicians at Royal Bournemouth will be aware of, and that is being addressed as a priority. Regrettably, it will not be fixed before we go live.

All appointments from both RBCH and Poole will appear on the 'future appointments' tab in the patient record. Appointments that have been cancelled will still appear in the 'future appointments' tab but will display a cancellation reason as highlighted below.

All activity from both RBCH and Poole will appear on the 'clinics – RBCH' tabs. Cancelled appointments will appear in the clinic list tab with no indication of cancellation for the patient.

A fix is in development with the supplier to remove appointment entries from EPR when they are cancelled and will be scheduled in a future EPR upgrade.

RBH: Departure lounge takes shape

Royal Bournemouth's new departure lounge is due to open later this month, with estates works nearing completion. Departure lounges support our hospitals in a range of ways, including:

  • enabling our same day emergency care (SDEC) clinics to provide fast turnaround of patients
  • freeing up nursing staff to focus on patients who need to be in hospital
  • making collection for our transport providers simpler, with just one place to go
  • improving patient safety.

Look out for news on the opening, and further information including a useful FAQ, soon. The departure lounge at Poole Hospital will reopen as soon as possible – look out for news on this in future bulletins.

POOLE: New mandatory training topics on the BEAT VLE

In the coming weeks four new topics will appear on the BEAT VLE for certain staff groups: tissue viability, VTE (venous thromboembolism), sepsis and end of life. This now completes the alignment of all core mandatory (green brain) topics across UHD. All staff working across UHD will have the same mandatory training. RBH: No palliative care cover this Saturday

Due to unforeseen circumstances there will be palliative care cover this Saturday (14 May). For urgent concerns, 24hour advice is available from the Macmillan Unit, call ext. 5470 option 1 between 8am-5pm and option 3 between 5pm-8am. For non-urgent queries, please leave a message on ext. 6021 (HPCT) and a staff member will pick these up on Sunday (15 May).

Adults physio referrals EPR currently unavailable

The forms on EPR are available to be filled in, but unable to be published. As a contingency, therapy services are accepting the following:

  • blue physio referral cards
  • green OT referral cards
  • email referrals (must include - patient name, DOB, hospital number, address, contact number, GP, diagnosis, reason for referral and clinician and speciality referring).

IT are working to fix this issue and functionality will resume on next Tuesday (17 May). Acute paediatric physio referrals is unaffected -please continue to use as normal.

Are you a leader who wants to improve the 'speak up' culture in our organisation?

All of our leaders at UHD should be helping us to achieve a culture where we all feel comfortable to speak up when something at work doesn't feel right, or when we see an area we think could be improved. Our Freedom to Speak Up Guardians and Health Education England have released a series of online training modules for staff, managers and leaders of all levels to help us all know how to speak up, listen up and follow up.

They cover:

  • Speaking up – this module is for all colleagues and covers what speaking up is and why it matters, helping learners understand how to speak up and what to expect when they do.
  • Listening up – this module is for managers and focuses on listening and understanding the barriers your team may have to speaking up.
  • Following Up – this module is for leaders at all levels to increase understanding of their role in setting the tone for a good speaking up culture.

Get involved with Dementia Action Week next week

This year we will be celebrating Dementia Action Week (16-20 May) with a week of content and events from across our trust. Join the dementia team down in the marquee at RBH from 10am-4pm for a week of skill sharing, fun and dementia positivity ending with a dementia fete on Friday running from 11am-3pm. Our dementia teams from Poole will be coming to your ward next Monday (16 May) and will be at a stand next Thursday (19 May) in the dome.

Poole: New version of the major haemorrhage policy

A new major haemorrhage policy is going live 6 June. Take a look at the changes and ensure this information is cascaded within our teams and colleagues ready for the go live date. The new version is available on the intranet or read more below:

Key points for communication:

  • New major haemorrhage phone line ext. 5555 – this is a dedicated MH phone line – caller to state: major haemorrhage and outline the situation then request blood component support
  • Clinical area to request a porter via switchboard on 2222 –indicate: major haemorrhage and location for porter to report to (this is following the 5555 call)

Key changes to policy blood components:

  • 2 units of pre-thawed AB Plasma will be immediately available – clinical decision to use with initial emergency group O/group specific red cells

New terminology:

  • Shock pack 1: 2 Emergency group O or 4 group specific red cells +/- 2 pre thawed FFP (immediately available)
  • Shock pack 2: 4 Red cells (group specific or further O) +/- 3-4 FFP (will need defrosting-30mins)
  • Further red cells/FFP units are requested as needed in batches of 4 units
  • Consider/offer Cryo/fibrinogen concentrate earlier in haemorrhage - post shock pack 2 use -use ROTEM to guide.

For patient resuscitation, clinical area still to call 2222 in the usual way.

Two weeks to go until our 2022 Revue – Pandemonium

Which VIPs have found themselves on the surgical ward? What really goes on in Team's meetings? Which trust executives have transformed themselves into a chart-topping pop group? Do you need immigration advice?

Citizens Advice for Bournemouth, Christchurch and Poole are running a drop-in immigration advice clinic at Bournemouth Library.

Sessions run on the 8 June, 6 July and 7 September from 10am-2pm. No booking is necessary but appointments will be time limited when demand is high.

Make a difference with Clinical Trials Day

Clinical Trials Day is a well-deserved 'time out' to recognise the people who conduct clinical trials and to say thanks for what they do every day to improve public health. This day of celebration also provides our staff working in clinical trials with a unique opportunity to raise awareness of their work– and of clinical research as a career option – among the public. The research response to Covid-19 has been incredible and would not have been achievable without the fantastic staff in our research team, the clinical teams and supporting departments who make it all possible, and the overwhelming generosity of our patients who give up their time to take part. Pop down to the dome and the atrium next Friday (20 May) to meet some of the team and find out about the important role clinical trials play in our trust.

Enjoy free use of a beach hut for a week

As a thank you to staff, University Hospitals Dorset NHS Charity are funding three beach huts on local beaches which are available for permanent staff to use through a ballot. Huts across Bournemouth, Boscombe and Southbourne are allocated for one week at a time with rentals starting on a Saturday and completing on the following Friday. There are three huts available and each member of staff can apply for one week per year - please complete the form here to submit your application and return to the patient affairs office at RBH; post point CO3 by 20 May; you can put two different choices of weeks in order of priority. This is a ballot and chosen weeks will be allocated as per people's choices as much as possible.

Job of the week: practice educator midwife

We are looking for two experienced Midwives with a passion for teaching and developing staff. Last year we cared for over 4700 women across two hospitals sites of Poole and Bournemouth and in the community. We are champions of normality, and in partnership with the obstetricians advocates for all women during their maternity journey. Find out more about the role here.

World record attempt for motor neurone disease (MND) and former colleague

In 2021, RBH anaesthetist Dr Andrew Vaughton was given the devastating diagnosis MND. MND is a fatal, rapidly progressing disease that affects the brain and spinal cord. It can leave people locked in a failing body unable to move, talk and eventually breathe. Andy has been playing beach touch rugby with a group of friends on Sandbanks beach since 2008. This group has evolved and grown into the Sandbaggers Beach Touch Rugby Team - which includes several members of the UHD surgical directorate, as well as local GPs. Dr James Keegan, consultant and member of the Sandbaggers team said: "When Andy was diagnosed with MND we were all heartbroken for him and his family. He got a lot of help and support from the MND charities after his diagnosis. Sadly, he has now stopped work and whilst we all miss his good humour, we wanted to support him through this slightly crazy challenge. Hopefully we can raise as much money as possible to support Andy and others in a similar position." The event will be raising money for Motor Neurone Disease Association and the My Name'5 Doddie Foundation. Find out more about the challenge here.

HRH visits UHD

His Royal Highness The Prince of Wales visited the Royal Bournemouth Hospital today to recognise all that NHS staff and patients have been through during the past two years.

During his visit, The Prince Charles met staff from RBH, Poole and Christchurch, and visited the new Derwent operating theatre that will help with the backlog of patients requiring elective operations since the pandemic.

He then officially opened our new Lavender Garden on the east wing, dedicated to the memory of colleagues who have died and a special area for staff to rest, reflect and recharge. The garden was funded by generous donations to our University Hospital Dorset NHS Charity, and Prince Charles met donors and family members of those who have died.

Discharge services across our hospitals

Due to staff vacancies and sickness within the team we are unable to provide a seven-day service across all our sites.

Our discharge team will operate a six-day service with support 8am-6pm Monday to Friday. Saturday will operate 8am-4pm with no service Sunday.

RBH: Portering services prioritised today

Due to staff shortages, portering services are currently prioritising responses.

This may lead to a delay for some requests and we apologise for any inconvenience this may cause.

POOLE: UHD PAS goes live for inpatients on 17 May – are U ready?

As we gear up to inpatients at Poole Hospital going live on UHD PAS later this month, you can find a range of helpful documents, including a ward-level checklist, instructions for EPMA users, user guides and a schedule of ward go lives times, on the UHD PAS section of the intranet.

Comprehensive support will be available on the day, with expert teams on site and across the hospital to support you during the cutover, including specialist nurses, IT trainers and application support personnel, business intelligence and the single PAS programme team.

UHD PAS is a combination of the two separate patient administration systems (PAS) historically used by Poole Hospitals and the Royal Bournemouth and Christchurch hospitals.

Celebrating Nurses Week

Next week our trust will come together to celebrate the fantastic work of all of our nurses, and to say thank you for everything that they do for our community.

Look out for stands in the dome at Poole, and by the restaurants at Royal Bournemouth and Christchurch each day, where throughout the week all of our care groups will take their turn to celebrate our nurses.

To honour Florence Nightingale's birthday, and to mark the transfer of knowledge between our nurses a lamp will travel across our hospital sites on Tuesday, Wednesday and Thursday. The lamp will finish its journey at the Poole Hospital Chapel for a service at 12.30pm on Nurses Day (12 May). The service will be livestreamed on our social media channels, so please tune in to share your support for our nurses.

We will be sharing content throughout the week, so keep an eye on our social media channels.

Appraisal season

It's almost time for our annual staff appraisals.

This is an opportunity to have good conversations, reflecting on our last year and reviewing and recognising achievements and progress. Your appraisal meeting provides an opportunity to:

  • discuss how things are going
  • receive feedback
  • establish future goals and objectives
  • talk about future aspirations
  • identify areas for development
  • document your plans for training and development and for your career.

Appraisers – ensure you are 'appraisal ready' by allocating time, communicating with your appraises, booking rooms and reviewing team objectives for the coming year.

Welcome to our new head of midwifery

Kerry Taylor has joined our maternity team as our new head of midwifery. Kerry has been a midwife for 22 years and joins us from Royal Berkshire Hospital.

"After visiting UHD before I joined the team I was overwhelmed how welcoming and helpful staff were – every time I looked lost someone stopped and took the time to guide me to the right department. I think this attitude is a sign of a great trust, and it's been reflected across my first weeks with everyone making a huge effort to help me settle in.

"I'm really looking forward to getting to know the whole maternity team, building our relationships and working together – I am also of course excited to be working in the brand new maternity department in 2024. Working in a new, spacious high-specification department is going to be fantastic.

POOLE: Employee self-service (ESS) and manager self-service (MSS) user tutorial

On 26 May, the BEAT team will be holding two tutorial sessions to show staff how to use ESS and MSS to book themselves and their team onto mandatory training.

Session times are:

  • 12.30-1pm
  • 1.30-2pm

Sessions will be in seminar room 3 at the education centre.

Complete our health and safety audit tool

The health and safety audit tool (HASAT) completion deadline is coming up at the end of June and our health and safety team is still awaiting the return of a large number of department responses.

This is a mandatory return, if you are a manager and have not yet returned your departments response you access the form and further information on the health and safety pages of the intranet.

Raise awareness of women's health projects at UHD tonight

Join our charity at Baiter Park, Poole from 7pm tonight (6 May) and walk to support women's health across Dorset.

Gather a group of friends, family or colleagues to take part and invite your loved ones to cheer you across the finish line. You can even bring your four-legged friends along for a walk under the stars.

You can buy your tickets at the event from the charity stand. £15 for adults and £8 for children under 16. (Under 5s go free).

New chair for UHD announced

Rob Whiteman CBE has been appointed the new chair of University Hospitals Dorset NHS Foundation Trust. He will start in the role on 1 July 2022 and replaces David Moss who retired from the NHS earlier this year. Rob has been chief executive of the Chartered Institute of Public Finance and Accountancy for the last eight years and has held many other executive and non-executive roles including chief executive of the London Borough of Barking and Dagenham and chief executive of the UK Border Agency. Rob also has significant experience of working with the NHS from his time as chair of North East London Sustainability and Transformation Programme (STP) and as a non-executive director and chair of audit at Whittington Health NHS Trust and Barking, Havering and Redbridge University Hospitals NHS Trust.

Paula Shobbrook, our acting chief executive, said: "We are delighted to have someone of Rob's calibre and experience joining us. This is an exciting time with the establishment of Dorset's Integrated Care System (ICS) and Rob's extensive experience in the NHS, nationally and in local government makes him perfectly suited for this role. Celebrating our incredible nurses this week

This week we will be celebrating nurses across our care groups, in the run-up to #NursesDay on Thursday (12 May). Throughout the week you can visit stands in the dome at Poole and outside the restaurants at Royal Bournemouth and Christchurch for information from each of our care groups on how they represent the #bestofnursing at UHD. Today we are celebrating our international nurses – to find out more on what this brilliant group think makes the #bestofnursing.

To honour Florence Nightingale's birthday on Thursday, and to mark the transfer of knowledge between our nurses, a lamp will travel across our hospital sites on Tuesday, Wednesday and Thursday. Today, the lamp will be moving through Christchurch Hospital, tomorrow at Royal Bournemouth and Thursday at Poole. The lamp will finish its journey at the Poole Hospital Chapel for a service at 12.30pm on Nurses Day on Thursday (12 May). The service will be live streamed on our social media channels, so please tune in to share your support for our nurses.

Reporting a violent or aggressive incident at work – a short survey

If you have been a target of violence or aggression here at work – either physically or verbally – we encourage you to always report this via Datix/LERN. We would also recommend that you have reported this to your manager so that colleagues are aware and you can be supported.

As a Trust, we have a commitment to ensure the safety of all our colleagues. We believe that not all attacks are being reported through Datix/LERN so for a trial period we have set up this survey to help us to work out trends so we can work towards helping to protect everyone.

This year we will be celebrating dementia action week with a week of content and events from across our trust. Join the dementia team down in the marquee at RBH from 10am-4pm for a week of skill sharing, fun and dementia positivity. Advance your career as a nursing associate

Are you a HCSW who is wants to advance your career and gain a nursing associate qualification? Applications are now open with both Bournemouth, Poole College and Solent University for this two-year foundation degree apprenticeship. Reconnect and refresh your Trauma Risk Management (TRiM) training

POOLE: departure lounge is open, supporting flow

The departure lounge trial at Poole in the former RVS café continues today and tomorrow (3-4 May), and 9-10 May.

It is important that all suitable patients for discharge are transferred to the departure lounge as early as possible, to ensure beds are available for patients awaiting admission via emergency and elective pathways, with the aim that one patient from each speciality arrives before 10am.

Celebrating Nurses Week 2022: 6-12 May

As part of our Nurses Week celebrations, and in honour of Florence Nightingale, a lamp will be journeying through UHD to wards on all of our sites – symbolising the unity of nurses across our trust. The lamp will be on site at Christchurch, the Macmillan Unit and Royal Bournemouth Hospital on 11 May, and will complete its journey through Poole, Forest Holme and St Mary's Maternity on 12 May, finishing at our Poole chapel for a Nurses Week blessing service at 12.30pm. There will be services in each of our chapels at 12.30pm, and these will be livestreamed on our social media.

Questions we can all ask in Deaf Awareness Week

If I call a patient's name in the waiting room, will they hear me? Can my colleagues lip read if my camera is switched off on teams? If a patient can't fully hear the options I am giving them, can they consent?

Our hospitals should be inclusive to all our patients and colleagues, however this may not always be the case for those who are deaf and hard of hearing. This week is Deaf Awareness Week, but there are permanent changes we can make to our behaviours to help the deaf community, including taking part in Deaf Awareness training. The training takes one and a half hours to complete, over 12 modules and includes a quiz.

Getting insulin safety right

This week is insulin safety week, raising awareness of insulin safety among healthcare professionals. Many of us treat patients with diabetes and it is important to know the right insulin, right dose, in the right way and at the right time. Pop down to the restaurant at RBH to meet our diabetes team this week to find out more.

Dying matters awareness week - helping to make sure everyone is #InAGoodPlace when they die

This week is dying matters week, where communities across the country come together to talk about death, dying and bereavement.

It's never too early to start to have these conversations and can mean that as a community we can work towards ensuring Advance Care Plans are documented and that everyone can be #InAGoodPlace when they die – physically, emotionally, financially and crucially, with the right care and support.

In Dorset, local clinicians in collaboration with HCI (Health and Care Innovations), have developed a suite of four videos and supplementary leaflets which provide an overview of things patients may wish to consider when thinking about making an advance care plan, this can be found here.

Retiring Internet Explorer

On 15 June, we will be retiring the Internet Explorer browser.

Whether Internet Explorer is your primary browser or you only use it for specific tasks, we will no longer be able to access Internet Explorer on your device after this period, you will automatically be re-routed to Microsoft Edge.

IT has ensured that the main clinical apps used in the trust will continue to work when accessed via the EPR interop or standalone. Please ensure that any specific ​web-based apps that are used by your specialty work in MS Edge prior to 15 June. Chrome will not be impacted.

New resource for patients on waiting times

The NHS has recently launched the national planned care patient digital platform which gives patients direct access to the latest average wait time information for our trust, as well as helpful advice for patients while they wait.

We're encouraging patients to look at the site where you may find the information you need before contacting your GP or hospital for an update about any elective procedures you are waiting for.

Updated weekly, the site is easy-to-use and is 'open-access' so carers, friends, relatives, and NHS staff can also access this information.

Together leading compassionately - leadership and management offer from Dorset ICS

The Dorset ICS is launching a new offer of support and development for leaders and managers across the Our Dorset system. The programme is an offer of two halves; inspirational 90-minute webinars hosted by expert speakers centred around managing and leading compassionately and collaboratively and facilitated sessions.
